AI and Generative AI Policy

Hasanah in Education (HIE) recognizes the responsible use of Artificial Intelligence (AI) and Generative Artificial Intelligence (GenAI) technologies in academic research and scholarly publishing. The journal supports the appropriate use of AI as an assistive tool while maintaining academic integrity, research integrity, transparency, originality, confidentiality, and human accountability.

The use of AI or GenAI does not replace the intellectual contribution, judgment, responsibility, or accountability of authors, reviewers, or editors.

1. Use of AI by Authors

Authors may use AI or GenAI tools for limited and appropriate purposes, including:

  • Grammar, spelling, and language improvement;
  • Translation and language editing;
  • Improving clarity and readability;
  • Assistance with formatting and organization;
  • Brainstorming and development of preliminary ideas; and
  • Other non-substantive editorial assistance.

Authors must carefully review, verify, and revise all AI-assisted output before submission.

Authors remain fully responsible for the accuracy, originality, validity, interpretation, and ethical integrity of their manuscripts.

2. Disclosure of AI Use

Authors must disclose any substantive use of AI or GenAI in the preparation of their manuscripts.

The disclosure should identify:

  • The name of the AI or GenAI tool;
  • The purpose of its use;
  • The stage of manuscript preparation in which it was used; and
  • The nature and extent of the assistance.

The disclosure should be included in an AI and Generative AI Disclosure section before the References.

Example of Disclosure

AI and Generative AI Disclosure: During the preparation of this manuscript, the authors used [name of AI tool] for [describe purpose]. The authors reviewed, verified, and revised the AI-assisted output and take full responsibility for the final content of the manuscript.

When no AI or GenAI tools have been used:

AI and Generative AI Disclosure: The authors declare that no generative AI tools were used in the preparation of this manuscript.

Routine spelling, grammar, punctuation, and formatting assistance generally does not require disclosure unless the AI tool has made substantive changes to the manuscript.

3. AI and Authorship

AI and GenAI tools cannot be listed as authors or co-authors.

Authorship is reserved for individuals who have made substantial intellectual contributions to the research and manuscript and who can accept responsibility for the published work.

Authors remain accountable for all content generated, modified, or assisted by AI.

4. Accuracy and Verification

AI and GenAI tools may produce inaccurate, incomplete, biased, or fabricated information.

Authors must independently verify all AI-assisted:

  • Facts;
  • Claims;
  • Citations;
  • References;
  • Data;
  • Statistical interpretations;
  • Quotations; and
  • Other scholarly information.

Authors must not submit fabricated references or information generated by AI without verification.

5. AI and Research Data

AI may be used in research methodology or data analysis when scientifically appropriate and ethically justified.

Where AI materially contributes to data processing, analysis, interpretation, or methodology, authors should clearly describe the AI tool, its role, and relevant methodological details in the manuscript.

Authors remain responsible for assessing the validity, reliability, reproducibility, and limitations of AI-assisted research.

AI must not be used to fabricate, falsify, manipulate, or deceptively alter research data, results, images, or evidence.

6. AI-Generated Images and Other Materials

The use of AI-generated or AI-assisted images, figures, illustrations, tables, audio, video, or other materials must be disclosed when such materials make a substantive contribution to the manuscript.

Authors must ensure that AI-generated materials comply with applicable copyright, licensing, intellectual property, privacy, and ethical requirements.

AI-generated materials must not be presented as authentic research evidence or original observations when they are not.

7. Confidentiality and Privacy

Authors must not enter confidential manuscripts, unpublished research data, personally identifiable information, participant information, or other sensitive materials into public or third-party AI systems without appropriate authorization and safeguards.

Authors are responsible for ensuring that AI use complies with applicable institutional, ethical, privacy, and data-protection requirements.

8. Use of AI by Reviewers

Reviewers must protect the confidentiality of submitted manuscripts.

Reviewers must not upload unpublished manuscripts, confidential research data, reviewer reports, or other protected materials to public or third-party AI systems without explicit authorization and appropriate safeguards.

AI tools must not replace the reviewer's independent scholarly assessment.

Reviewers remain fully responsible for the accuracy, fairness, confidentiality, and recommendations contained in their review reports.

9. Use of AI by Editors

Editors may use AI-assisted tools for appropriate administrative or editorial tasks when confidentiality, privacy, intellectual property, and editorial independence are maintained.

AI must not replace the editor's independent judgment regarding:

  • Editorial decisions;
  • Peer-review selection;
  • Manuscript evaluation;
  • Ethical investigations;
  • Acceptance or rejection; or
  • Publication decisions.

Editors remain responsible for all editorial decisions.

10. AI Detection

HIE may use AI-detection tools as part of its editorial assessment when appropriate.

However, AI-detection results will not be considered conclusive evidence of misconduct on their own, because automated AI-detection systems may produce inaccurate or false-positive results.

Where concerns arise, the editorial team may request clarification or additional information from the authors and conduct further assessment.

11. Plagiarism and Academic Integrity

AI-assisted writing does not exempt authors from the journal's plagiarism policy.

All manuscripts must comply with HIE's Plagiarism Screening Policy, including the maximum similarity threshold of 20%.

Authors must properly acknowledge and cite sources regardless of whether AI tools were used during manuscript preparation.

The use of AI to disguise plagiarism, generate fabricated references, falsify information, or conceal academic misconduct is prohibited.

12. Ethical and Responsible Use

AI and GenAI should be used responsibly and transparently.

The following practices are prohibited:

  • Listing AI as an author or co-author;
  • Fabricating or falsifying research data using AI;
  • Generating fabricated references or citations;
  • Presenting AI-generated content as independently conducted research;
  • Concealing substantive AI use when disclosure is required;
  • Uploading confidential research materials to AI systems without authorization;
  • Violating copyright, privacy, or intellectual property rights through AI use; and
  • Using AI to manipulate peer review or the editorial process.

13. Author Responsibility

The use of AI does not reduce or transfer the author's responsibility for the manuscript.

Authors are responsible for:

  • The originality of the manuscript;
  • The accuracy of all information;
  • The validity of research findings;
  • The accuracy of citations and references;
  • Compliance with research ethics;
  • Compliance with copyright and intellectual property requirements; and
  • Transparent disclosure of substantive AI use.

14. Editorial Action

If inappropriate or undisclosed use of AI is identified, HIE may request an explanation from the authors and may take appropriate action depending on the seriousness of the matter.

Possible actions include:

  • Requesting revision;
  • Rejecting the manuscript;
  • Suspending the editorial process;
  • Issuing a correction;
  • Issuing an expression of concern; or
  • Retracting a published article.

Such actions will be handled in accordance with the journal's Publication Ethics and Retraction and Correction Policy.

15. Policy Updates

HIE may periodically update this policy to reflect developments in AI technology, scholarly publishing practices, research ethics, copyright, privacy, and recommendations from relevant academic and publishing organizations.

Hasanah in Education (HIE) is committed to ensuring that AI and GenAI technologies are used as supportive tools while preserving human authorship, scholarly responsibility, research integrity, and the credibility of the academic record.
